Property Set Up

Primary manager will be responsible for overseeing all facets of managing your property.

Property manager will communicate with homeowner and establish goals and expectations at the outset. We encourage an ongoing homeowner consultation.

 

Initial Property Setup:

  • Complete property description form
  • Complete property condition form
  • Complete maintenance addendum w/contact info of all vendors assigned to the property
  • Inventory written and digital
  • Unit set up in Trinity Properties software
  • Unit set up on all of Trinity Properties various websites
  • Homeowner authorizes Property Managers on all accounts pertaining to utilities
  • Inform all utilities companies of authorization in writing
  • Establish house rules other than our fundamental house rules and guidelines tailored to property which will be handed to tenant
  • Develop maintenance report using excel spread sheet to indicate easy follow up and progress – this will be emailed to homeowner regularly and as desired.   
  • Arrange for and hire/fire subcontractors – yard, pool, window washing, alarm system, cleaners for move –in and move –out cleaning as needed, handyman, electrician, pest control, etc.
  • Coordination and supervision of major projects like new fence; new roof; pool leaks; new landscaping; elaborate paint jobs; etc. if desired by owner

Setting You Up For Long Term Rentals

  • Place ads for long term rentals at least two months prior to the expiration of turn over period. In HNL Advertiser; craigslist, Military Server etc
  • Follow up on craigslist & Military Server, daily and/or weekly to refresh info and secure data being visible in the top 10 appearance
  • Place “For Rent” sign in front of property
  • Showings of property
  • Interview, credit check and screen long term prospects
  • Keep current with market rents and negotiate when appropriate and after approval by homeowner
  • Issue Lease Agreement, Addendum A and Pet Addendum as appropriate to include special terms and condition if applicable – to be discussed and negotiated with homeowner
  • Collect first month’s rent and security deposit
  • Check in procedure with a minimum of one (1) hour educational tour through property; (time varies depending on scale and complexity of home and possible neighborhood issues); completion of property condition form. Info Binder with all important information about the unit will be handed to tenant at move in.
  • Switch utilities if applicable
  • Enter all tenant data into Trinity Properties Software
  • Ongoing communication between tenant/homeowner and office

Setting You Up For Short Term Rentals

  • Hi- Quality Advertisement of our luxury vacation homes
  • Showings of property to short term rental prospects and Travel Agents
  • Check in / Check out vacation guests; respond to their needs/calls in a timely manner;
  • Welcome basket for guests and comprehensive check in procedure and education with detailed info about the house and surroundings; 
  • Additional amenities or services if requested
  • Ongoing quality control of vendors/cleaners - apply cleaners check list and modify
  • Assessment of property after check out; report of any damages or losses;
  • Report damages or losses to homeowner and guests – digitally and in writing;
  • Deductions from security deposit communicated to bookkeeping department and main office within 7 days after departure.  
  • Replace/repair missing/damaged items as approved by homeowner
  • Check condition of furnishing regularly to assess needed replacements
  • Schedule carpet cleaners, extra cleaning services, maintenance cleaning as needed, window washing as needed or as agreed upon with homeowner,
  • Supply shopping to stock property with all needed supplies to ensure convenient start for any guests/tenants
  • Weekly management/maintenance check on property interior & exterior, operation of toilets, stove, appliances to keep all in working order.
